Background

An international telecommunication company serving over 50 million customers successfully implemented the standard functionality for formal document exchange with SAP ERP. However, the company identified the need for a SAP solution that could facilitate the exchange of informal documents with electronic digital signatures. To address the challenge, the company initiated a bidding for this project and selected IBA Group as the winner.

Challenges

The challenges faced by the company were twofold. First, there was no standard SAP solution for interchange of non-formalized documents with a digital signature for the country. Second, the company grappled with a large volume of paper document exchange, both internally and with external partners.

Solution Highlights

IBA Group implemented a comprehensive SAP custom solution, expanding the existing solution for formal EDI (Electronic Document Interchange) to include informal EDI built on the SAP platform. This empowered the customer to create non-formalized electronic documents with digital signatures, generate correspondence requests for accounting documents, and track document statuses in real-time. IBA Group also developed the approval workflow that caters to both formalized and non-formalized documents and comes with robust storage solutions.

Key Results

The company can now transmit non-formalized electronic documents, leading to a significant reduction in paper-based workflows. Additionally, the time required for document exchange with partners notably reduced.

The user experience within the SAP’s EDI system substantially improved through the introduction of a monitoring solution for formal and informal documents and the incorporation of customer-specific workflows.

The users gained the capability to track the approval of electronic documents in this monitoring system.

An overload of over 150 legacy systems designed for railway-specific functions hampered planning and management of financial and economic activities.

Solution Highlights

Based on SAP products, IBA Group developed a custom solution for revenue accounting. This solution provides real-time visibility into transactions with customers, offering a detailed breakdown of transportation service costs for each customer and shipment. It also effectively tracks revenues from various transportation types across different analytical dimensions.

Key Results

The solution implemented by IBA Group allowed for increased efficiency of revenue management, optimized management of accounts receivable and accounts payable, and improved financial flows. Replacement of legacy systems with the new solution contributed to significant cost reductions in operations related to core activities, particularly in cargo transportation services. A gas transportation company with over 2,500 SAP users successfully implemented an SAP ERP on HANA. However, the standard contract management processes did not meet the client’s expectations. After a comprehensive analysis of various contract management options, the client made a strategic decision to enhance the functionality of the SAP ERP with a tailored contract management solution by IBA Group.

Challenges

The existing SAP contract management was error-prone and time-consuming. In addition, the customer had numerous long-term contracts, each with more than 200 specific attributes. Furthermore, a crucial business requirement was to enable business users to view scanned copies of documents directly within the SAP ERP.

Solution Highlights

IBA Group engineered a new transaction designed for centralized contract processing based on SAP RCM. This SAP solution offered a range of beneficial features, including flexible customization of fields depending on the contract type and status, seamless integration with SAP documents that allowed for viewing all SAP objects related to the contract, and integration with OpenText ECM.

Key Results

The new SAP custom solution brought about transformative results. It established a single entry point for contract processing complemented with a user-friendly interface that significantly enhanced user satisfaction. Accountants gained the capability to create payment schedules and centrally control payments within a single transaction. Furthermore, the load on the database server noticeably reduced and users can conduct search based on document content, streamlining the process and increasing the overall efficiency.

Background

For more than 15 years, IBA Group has been a trusted partner to a global international tire producer. The company has a complex IT landscape that incorporates solutions from SAP and other vendors. The company approached IBA Group with a request to modify the process of transferring large files between different SAP and non-SAP systems, seeking a tailored SAP solution for their file transfer needs.

Challenges

The client faced a number of challenges, including a multitude of file transfer interfaces within the ABAP programs that connect SAP systems to SAP and non-SAP legacy systems. Their existing solution utilized a non-user-friendly external UNIX command call for FTP file transfers.

The architecture was complex, relying on two middleware systems, namely SAP PI and Axway Integration Manager.

Additionally, their monitoring tools for file transfers were insufficient and new security rules mandated the use of middleware systems.

Solution Highlights

IBA Group developed and implemented a comprehensive solution. IBA experts created an ABAP framework, leveraging proxy calls to SAP PI and SAP ALE for Axway Integration Manager.

This SAP custom development framework replaced the existing file transfer mechanisms and all ABAP programs were updated to integrate with this new framework.

Key Results

The new framework brought about transformative results. It became possible to conduct file transfers without middleware systems. This enabled the transfer of large files and eliminated the need for additional middleware licenses.

The introduction of new SAP monitoring tools empowered the business to monitor the actual status and logs of file processing and transfers without middleware systems. Additionally, the solution ensured compliance with the new security rules, while providing the flexibility to utilize secure connection protocols available in the middleware systems (SFTP, OFTP, AS2, AS3, etc.) for file transfers. This SAP solution not only met the client’s needs but also improved efficiency and compliance in their file transfer processes.

Background

A global corporation of more than 250,000 employees implemented SAP FICA. However, this module fell short in efficient management of the output at an organization of such magnitude. In a strategic move to address the limitation, the company chose to enhance their SAP FICA capabilities with the expertise of a dedicated team of IBA Group’s SAP consultants and ABAP developers.

Challenges

The existing SAP FICA did not support complex invoicing processes for each of the 25 countries individually. Moreover, it lacked vital functionality related to output control, including multiple time-shifted outputs per invoice within one correspondence container, customized output determination, print preview, output log, and archiving capabilities.

Solution Highlights

To address these challenges, IBA Group embarked on SAP S/4HANA FICA, developing additional functionality. We successfully replicated the output control functionality from SAP ECC SD and seamlessly integrated it in SAP S/4HANA FICA. This encompassed output determination customizing that includes requirements and access sequences.

We also introduced a user-friendly Fiori-based application for output monitoring, print preview, and a comprehensive archive viewer.

Eventually, this customized SAP solution underwent a thorough audit by SAP to ensure its effectiveness and reliability.

Key Results

The new SAP solution played a transformative role for the customer. It led to a significant decrease in the costs associated with mass invoicing processes, particularly in the realm of output control.

The modified Fiori-based user interface allowed the customer to shorten the time spent on invoice generation and access to archives, and substantially improved user experience.

Most importantly, the solution prevented an expensive overhaul in the invoicing process, which could be detrimental to the accounts receivable turnover ratio.

Reusing well-established processes, we minimized any negative business impact that could stem from oversimplified invoice processing in standard SAP FICA.

Solution

The solution collects data from various external sources. Using semantic and cluster models, it identifies objects of interest. It complements existing dictionaries with business terms, calculates a satisfaction rating based on sentiments in comments and reviews, and visualizes sentiment data. Visualization is based on Qlik Sense, however any BI system can be used.

Result

The solution is applicable to any enterprises and organizations that provide services or sell products to a wide segment of the population, which can be discussed on forums, edicated websites and social media.

SOLUTIONS HIGHLIGHTS

The customer decided to implement the SAP S/4HANA ERP system starting from scratch. It was planned to organize and automate accounting, tax and personnel records, accounting in accordance with IFRS, integrate the solution with the “Cargo Transportation” and “Passenger Transportation” billing systems. The selected contractor failed to complete migration to S/4HANA in full. The customer conducted an audit and prepared a list of required improvements. The customer contacted IBA Group to finalize the system and put it into commercial operation.

 

The IBA Group team has upgraded the system and automated the chain of business processes. The following sections were put into operation: accounting and tax records (FI, FI-SL), asset accounting (FI-AA), budgeting (FI-FM, TRM), management accounting, equipment maintenance and repair (PM), logistics (MM/SD), human capital management (HCM).

Key performance indicators of the enterprise are displayed in real time in the business intelligence system (BI/BW, BPC). Integrated with billing systems, public services portals, process systems (MM/SD, FI, PM).

Results

Managers can access complete and reliable information about the financial status of the enterprise, obtain operational analytical reporting on key indicators. The company introduced parallel accounting according to local standards and IFRS.

Project Overview

IBA Group created a comprehensive solution based on SAP HANA, a modern high–performance platform that combines analytical tools, means of transaction processing, and large amounts of data (ERP and BI).

The system was launched simultaneously in all seventeen branches and the administrative office of a major oil and gas company.

Project Execution

From 2013 to 2015, IBA Group created and implemented the enterprise information management system based on SAP ECC 6.0. The system was created based on the following SAP software:

  • ERP Central Component (SAP ECC 6.0)
  • BI — Business Intelligence
  • PI — Process Integration
  • ВО — BusinessObjects
  • MDM — Master Data Management
  • SM — Solution Manager
  • SAP HANA (ERP, BI).

In 2014, the system was launched in compliance with the project calendar schedule. According to the requirements specification, the following business processes of our customer were automated:

  • Accounting and tax records
  • Management accounting
  • Financial accounting
  • Logistics (procurement, sales and distribution, warehouse operations)
  • Equipment maintenance and repair
  • Capital construction accounting
  • Organizational management and personnel administration.

In 2015, IBA Group automated payroll as well as production and economic planning of the company.

User support was organized based on SAP Solution Manager (Incident Management).

The IBA Group team included more than 100 SAP consultants and developers.

While implementing the project, IBA Group used up–to–date methodologies of SAP product implementation, namely ASAP (Accelerated SAP) and AGILE (Agile Software Development). In addition, IBA Group used advanced technologies of project procedures management and subsystem functionality testing.

IBA Group provided support services through Service Desk, carried out the central system administration using SAP Solution Manager, and created operating user manuals and training courses. IBA Group also held an interactive training of end users via RWD uPerform for SAP.

Project Results

In August 2015, the information management system was successfully accepted for commercial operation. The company received the system that allows for obtaining trustworthy, complete, and timely information about the activity of all departments of the company.

The unified information environment enables our customer to increase the efficiency of real–time analysis and enterprise activity planning, to optimize the turnover of stock and monetary assets, to reduce operating costs for maintenance and repair, as well as for administrative and management personnel, and to enhance investment attractiveness.
